Time Keys workforce management allows effective resource planning/scheduling and offers a user friendly and effective functionality to:
  • Define organizational requirements in terms of number of persons needed with different positions and skills.
  • Create a basic staffing and scheduling based on defined organizational requirements.
  • Manage re-planning for large parts of the workforce before upcoming vacation periods, major holidays and so on.
  • Identify and staff lack of resources that occurs in the daily work due to unplanned absences.

 

Workforce Management and Scheduling

Here are organizational requirements defined in terms of positions, skills and the number of resources needed to staff a unit (such as shift, department, and team).
Organizational requirements can be defined uniquely and independently between different units. A basic requirement is an organizational requirement that is intended to valid for a longer period.
Furthermore it is possible to define additional requirements for limited time periods. These additional requirements replace the basic organizational requirement for the defined period of time.
When an organizational requirement is defined the system automatically suggests a suitable staffing to fulfill the requirement. The suggested staffing can be accepted in whole or supplemented/adjusted before completion and scheduling.
 

Deviation Management

In this part of the workforce management module the system automatically identifies resource shortages that occur in the daily work due to unplanned absence or extra need of personnel beyond defined organizational requirement.
Days with resource shortages are flagged and suitable replacements presented in a suitability order which is determined by:
  • Adequate position/competence
  • Overtime balance
  • Working time rules such as daily rest/weekly rest.
  • If the employee has volunteered to substitute
It is, except from being an aid for workforce management in handling everyday deviations/shortages, a tool for employees to sign up as volunteers for extra work.
